An established downtown law firm is seeking an experienced Estate Planning / Probate / Corporate Legal Secretary to support a busy and collaborative Trust & Estate practice. Position Details

  • Practice Area: Estate Planning, Probate & Corporate
  • Team Supported: Trust & Estate
  • Schedule: Full-time, 40 hours/week
    • Monday-Friday, 8:30 AM - 5:00 PM
    • 30-minute lunch
  • Pay Range: $26.00 - $32.00 per hour (DOE)
  • Location: Downtown

Key Responsibilities

  • Provide comprehensive administrative and legal support to attorneys in estate planning, probate, and corporate matters
  • Prepare, revise, and finalize estate planning, probate, and corporate documents
  • Prepare and e-file pleadings and court forms in both State and Federal courts
  • Manage document organization and maintain files within the document management system (iManage preferred)
  • Calendar deadlines, hearings, and client meetings with meticulous attention to detail
  • Prepare attorneys for client meetings and court hearings
  • Draft and manage correspondence with clients, vendors, courts, and third parties
  • Coordinate internally with firm personnel to ensure smooth workflow and communication

Qualifications

  • Minimum of 3 years of law firm experience, including litigation support
  • 3+ years of estate planning experience (required)
  • Working knowledge of estate planning and probate procedures, calendaring, and corporate fundamentals
  • Familiarity with court forms and e-filing procedures for State and Federal courts
  • Strong understanding of legal terminology, concepts, and principles
  • Excellent calendaring, deadline tracking, and document management skills
  • Strong proofreading, organization, and project management abilities
  • Outstanding written and verbal communication skills
  • Well-developed interpersonal skills and a high degree of professionalism
  • Experience supporting law firm practice groups
  • Proficiency with Microsoft Office, Essential Forms, and document management systems (iManage preferred)
  • Minimum typing speed of 65 WPM
  • California Notary Public commission a plus
